Give your next five estimates a clear next step.
Use this with your existing customer records. Keep homeowner details in your approved system and use estimate IDs in this tracker.
1. Review five open estimates
- Confirm each estimate was delivered and check the latest reply.
- Assign one team member to own the next step.
- Choose a useful action and a date that fits the customer’s timeline.
- Record the result after each action. Pause follow-up when a customer replies.
CSV files open in spreadsheet software. The download is blank and does not contain customer information.
2. Choose the right message
Replace the bracketed details and review the record before sending through your usual channel.
Confirm receipt
Hi [First name], this is [Name] with [Company]. Did the estimate for [project] come through and open correctly? I’m happy to explain anything in the scope or next steps.
Answer a useful question
Hi [First name], is there anything in the estimate for [project] you would like us to clarify? I can walk through what is included, the options, or the next steps so you can make an informed decision.
Close the loop
Hi [First name], I’m closing the loop on the estimate for [project]. Is the project still being considered, postponed, or no longer needed? If you prefer no further follow-up, let me know and I’ll update our records.
3. Agree on a simple schedule
- When sent: record the estimate and agree on the next contact.
- Around two business days later: confirm receipt if still unconfirmed.
- Around days 5–7: offer to clarify a relevant question.
- Around days 10–14: ask for the current status and close the loop.
This is an example, not a required sequence. Follow the customer’s requested timing and contact preferences. Stop on request; pause for replies, revisions, or active conversations.
4. Check the process with your team
- Every active estimate has an owner and dated next action.
- The team checks replies before sending.
- Scope, price, and technical questions go to a qualified person.
- Declines and stop requests are recorded and respected.
- Weekly review counts contacts, replies, decisions, and overdue actions.
- Booked value and collected revenue are recorded separately.
